Plan a company climbing outing

A useful framework for an inclusive office climbing session: optional attendance, transparent costs, appropriate instruction, and direct coordination with the gym.

Start with people, not team-building claims

Ask whether the group is interested and make participation voluntary. Some people may prefer to watch, attend only a social portion, or skip the event. Climbing should not become a proxy for confidence, leadership potential, or commitment to the company.

Use the venue’s group process

Give the operator the likely headcount, experience range, preferred date, and instruction needs. Ask about group size, supervision, required paperwork, accessibility, equipment, and cancellation terms. A collection of day passes may not provide the same experience as a booked instructed group.

Publish a complete invitation

State the actual meeting place, start and finish time, what the company covers, what individuals would pay, and whether food or transport is included. If arrangements are not confirmed, label them as tentative rather than presenting an unbooked idea as a scheduled event.

Protect choice and privacy

Let participants handle their own personal information with the venue where possible. Do not circulate medical details, waiver contents, or individual performance results through work channels. Ask separately about photos; attending an outing does not imply consent to marketing use.

End with an easy next step

A successful group visit can lead to an optional repeat session, not a mandatory league. Ask what participants liked and what would make the next outing simpler. Bay Area Rock Climbing provides this planning guide but does not sell, reserve, or host company sessions.
